Syncing Your Business Sources

What is this?

When you connect to HMRC, your business sources — such as self-employment income or rental income — are pulled through from HMRC into your digital tax software. For some business sources, this happens automatically. For others, you may need to sync them manually to link what HMRC holds with what is already set up in your software.


Why do I need to sync?

If you have a self-employed business source already set up in your digital tax software, it will need to be matched to the corresponding source that HMRC holds on file. This links the two together so your records stay consistent and your quarterly updates are submitted correctly.

Rental (landlord) business sources are pulled through automatically when you connect to HMRC and do not need to be manually synced.


When do I need to do this?

You will need to sync your business sources after connecting to HMRC for the first time, if you already have a self-employed business source set up in your software. You may also need to re-sync if you add or change a business source in your HMRC portal.


How to sync your business sources

  1. Go to Profile & Settings, then select Data Connections.

  2. Select 3rd Party Accounts and find the HMRC tile.

  3. Click the dropdown on the HMRC tile and select Sync Businesses. Alternatively, select Recheck MTD Status — once the check completes, the Sync Businesses option will appear.

  4. A new screen will open showing the business sources HMRC has on file.

  5. For each business source, you will be asked to either create a new business source in your software, or match it to one that already exists. Select the appropriate option.

  6. Once you have matched all business sources, click Synchronise.


If you are unsure which option to choose — create new or match existing — check with your accounting firm before proceeding.


Important things to know

Your HMRC portal is the source of truth for your business sources. If you need to add a new business, change the name of an existing one, or remove one that is no longer active, this must be done in your HMRC portal first. Your digital tax software will pick up the changes the next time you recheck your MTD status.

Do not create or edit business sources directly in your digital tax software if they need to reflect a change in your HMRC records — always update HMRC first.
